Policies and Procedures
General Information
To register online, please visit UltraCamp. If you haven’t done so before, please create a complete profile for you and your camper. You can register for camps, as well as make payments through this site. You may also contact Briana Morrow via e-mail or by phone at 901.537.1415 for any registration or payment questions.
A $50 one-time registration fee must be paid prior to registering for summer camp. This fee is per family, not per child. Additonally, a $25 deposit per specialty camp is required to register. This non-refundable deposit is applied towards the total cost of the camp; it is not an additional fee. The deposit reserves a space for your child, and the remaining balance is due by the start date of the camp. Summer at St. Mary's accepts Visa, MasterCard, Discover, American Express, cash, and checks. Summer at St. Mary's will not prorate camps for any reason.
To cancel a reservation, please contact Summer at St. Mary's with a minimum of 10 days notice to receive a refund, less the non-refundable deposit. Except in cases of illness or emergency, refunds will not be given after a program begins. No refunds will be given for those campers that choose not to attend a program. Registration confirmation will be sent to the primary email via UltraCamp; the confirmation email will show account balances. All account balances must be paid by the start date of the camp in order to attend. Camps with insufficient enrollment are subject to cancellation with a full refund.
Late Pick-Up Policy
If your child is registered for After Care, it is from 3:00 p.m. to 5:30 p.m. in the Early Childhood building. Late fees will apply for campers not picked up by 5:30 p.m. Campers not picked up by 5:30 p.m. will be charged $2.00 per minute for the first 10 minutes, and then $5.00 per minute for each additional minute. All late fees are due at the time of pick-up. If you are late picking your camper up on two occasions, we are no longer able to offer after care to your child.
Behavioral Policy
Campers are expected to adhere to the policies of St. Mary’s Episcopal School. We reserve the right to dismiss from the program (without refund) any camper whose behavior becomes unmanageable. Campers are not allowed to be unsupervised on campus and are expected to be neatly and properly dressed. The use or possession of alcohol, drugs, or tobacco products is not allowed, and any students in possession of such items will be expelled from the program, without refund, and the appropriate authorities will be contacted.
Campers must be at least three years of age by June 1 and fully potty trained, including nap time, to attend Summer at St. Mary's. If more than three accidents occur within a 7 day period, the Director of Auxiliary Programs may request that your child remain home from camp.
