Auxiliary Programs: After3 & Specialty Classes

Auxiliary Programs offers After3, our after school program, and Specialty Classes throughout the school year for girls in St. Mary's Place through 12th grade. 

Girls in After3 receive a snack and engage in a wide range of activities including indoor and outdoor games, arts and crafts, reading, and free-time. After3 is from 3:15-6:00 p.m. All girls must be picked-up promptly at 6:00 p.m.

Specialty Class offerings include coding, yoga, dance, art, and more. Classes are available for Pre-K and JK girls on Monday - Thursday from 12:30-1:15 p.m. and from 3:15 - 6:00 p.m. for St. Mary's Place through SK girls on the north campus. Billing

St. Mary's offers families three options for payment. 
Your initial invoice was available on May 3 by logging-in to My BackPack. All families have a payment due by June 15. You have until June 1 to make a change to your selected payment plan.

  • One Payment - Due June 15
  • Two Payments - Due June 15 (70%) and November 15 (30%)
  • Monthly Payment Plan - Tuition is paid in ten equal monthly installments by direct bank withdrawal from a checking or savings account, beginning June 15, 2019 and ending April 15, 2020.  St. Mary's will not withdraw a Tuition payment during January 2020.  An origination fee of 4.5% is added to the amount of Tuition financed, and the Tuition Refund Plan (TRP) is required.

Tuition Refund Plan (TRP):
All new families are required to participate in and will be charged for the TRP. The Tuition Refund Plan protects your tuition investment in case your daughter withdraws from St. Mary's for any reason. 

Student Accident Plan (SAP):
The Student Accident Plan covers a student's accident any time, anywhere. Please click the link for detailed information.

Birthday Book Club

For your daughter's birthday, you can purchase a book in her honor in the St. Mary's library.

Books & School Supplies

Early Childhood
All school supplies are provided for girls in Early Childhood other than a sleeping bag or blanket for rest time. In the past we have used a Happi-Nappi brand nap bag, but any kind of small sleeping bag will do. You may have one at home already that your daughter is fond of! Your daughter is also welcome to bring a favorite "lovie" for rest time as long as it fits in her bookbag if she stays a full day. 

Every girl receives a St. Mary's book bag, which will be available for pick-up at orientation. In it you will find a blue folder that will travel back and forth from school to home each day.  Please check it daily as important information from your daughter's teacher is often communicated from through the blue folder and it will occasionally contain work that your daughter has completed at school.

My BackPack is our parent portal and will contain your family's contact information.  If you have trouble logging in, please contact Justin Whitford, Directory of Technology. You can make updates to information that may have changed directly in the system including email, phone, and address.  A printed directory will be sent home with your daughter after school begins.

Health Center

All families should have received an email invitation directly from SchoolDoc, St. Mary's Health Center portal, with instructions on how to login or create a new account. Help sessions will be offered during Parent Orientations and the first week of school. In the meantime, if your daughter sees her physician, you may want to obtain an updated official copy of her Tennessee Immunization Record. Immunization records are required for all new students, rising SK, and rising 7th graders or anyone who has not gotten the new TN Immunization form in the last few years.

Lunch & Snack

FLIK Independent School Dining provides lunch service for St. Mary's students.  Girls have the option to purchase a Meal Plan or use a Declining Balance account which provides the flexibility to purchase lunch on some days and bring lunch when they choose. 

Be on the lookout for an email with your daughter's FLIK Dining PIN.

Athletics

Cross Country 
Lower School cross country is offered for girls in 3rd through 5th grades.  Participants run in the Memphis Youth Athletics league. Team practices are two to three times per week with meets on Monday afternoons after school. Practice begins in mid-August and the season ends in mid-October. Please remember, girls participating in Lower School cross country cannot be in the play as both activities practice at the same time.

Bright Beginnings (1st Grade only): The Bright Beginnings conference is the perfect time for you to share insights about your daughter with her teacher. They will take place on the afternoon of August 12 and are for parents only.  Dismissal for first grade will be at noon on August 12 from the regular carpool porch. Aftercare will be offered from noon to 6:00 p.m. If your daughter only needs care during your 15 minute conference time, special care for her will be available in the Lower School Library. Lower School Play Auditions - 4th and 5th Grades

Lower School play auditions for 4th and 5th graders will be held after school on Monday, August 26 and Tuesday, August 27. You will hear more about the auditions in a few weeks and here is additional information from Jenny Madden. Please remember, girls participating in Lower School cross country cannot be in the play as both activities practice at the same time.

Volleyball
Sixth grade volleyball will begin on August 5 and have practice on Monday and Wednesday afternoons and Friday evenings through the end of September.  There are four play days on Saturdays in September. Tryouts are not held for sixth grade and all girls are welcome to participate.

The 7th and 8th Grade volleyball season runs from August through early October. The teams will meet five days a week.

Students in grades 6-8 will need a backpack. 

You should have received an email directly from Burke's Books, St. Mary's preferred textbook provider, with information on how to order textbooks. If you choose to order from Burke's, textbooks will be delivered directly to your homeroom.

Order a Badge Online
If you have misplaced your badge, you can order a new one online for $15.00. If you order by Monday, August 5 your badge will be available in the Middle School office by Friday, August 9. We will replace broken badges at no cost but please bring your broken badge with you to obtain a new one.

South Campus DROP-OFF PROCEDURES:

6th-8th graders

  • All drop-offs occur at either Taylor or Windland Smith Rice buildings in orange highlighted area on the map. Everyone must pull to the farthest point before stopping to let students out.  
  • Perkins Extended is the only entrance available for drop-off. This entrance is right turn only off of Perkins Extended.
  • There are two carpool lanes. The right lane is for stopping to drop students off; the left lane is for constantly moving traffic to exit the campus.
  • No parking is allowed in carpool lanes from 7:00-8:00 a.m.  It is imperative that students be ready to unload as soon as the vehicle stops.   
  • After students are dropped off, please exit campus via Perkins Road making a right turn only.  A facility staff member will direct you. There will be no exit via Perkins Extended.

South Campus PICK-UP PROCEDURES:

6th and 7th graders 

  • 6th and 7th graders are picked-up in front of Taylor and Windland Smith Rice buildings in orange highlighted area on the map. Please pull up to furtherest point on the map.
  • Perkins Extended is the only entrance available for pick up for 6th and 7th grades.
  • After you pick up your children, exit campus via right turn only on Perkins Road. There is no exit via Perkins Extended or Walnut Grove at any time.
  • On campus - Only the right lane is for pick-up, and the left lane is for constantly moving traffic exiting the campus. After you pick up your children, proceed to left lane and exit campus.

8th graders

  • 8th graders are picked up in front of Holy Communion in orange highlighted area on the map.
  • Walnut Grove is the only entrance for pick-up of 8th grade. Enter only by a right turn into campus.
  • On campus - Only the right lane is for pick-up, and the left lane is for constantly moving traffic exiting the campus. After you pick up your children, proceed to left lane and exit campus by right turn onto Perkins Road.
  • Families with students in both Middle School and Upper School will pick up ALL children at the location of the youngest child.
  • No parking or waiting is allowed in pick-up lane during pick-up time. If your daughter is not outside the building yet, you will be asked to make a loop around the block.  

Security and staff will be present to help direct traffic during drop-off and pick-up.

6th grade takes an overnight trip to Huntsville, AL on Wednesday, April 15 through Thursday, April 16.

7th grade takes a three-day trip to Camp McDowell Monday, September 23 through Wednesday, September 25. Please complete and sign the permission form.

8th grade takes a four-day to Washington, D.C. Saturday, October 19 through Tuesday, October 22 with a rest day on Wednesday, October 23. Please complete and sign the permission form.

Girls in After3 receive a snack, have study and homework time, and have time to be social and interact with friends. After3 is from 4:30 to 6:00 p.m. All girls must be picked-up promptly at 6:00 p.m.

Specialty Class offerings include art, college prep, athletics, and more. Classes are available after school for girls in 9th - 12th grade on the south campus. Back-to-School Orientations

Save-the-date for the following orientations:

  • Freshmen Student Orientation: Thursday, August 8 at 10:00 a.m. in the Morrow Room located in Garrott Hall. This orientation is for students only.
  • Upper School Parent Back-to-School Orientation (grades 9-12): Monday, August, 12 at 1:00 p.m. in the Rose Theater located in the Buckman.

Billing

St. Mary's offers families three options for payment. 
Your initial invoice was available on May 3 by logging-in to My BackPack. All families have a payment due by June 15. You have until June 1 to make a change to your selected payment plan.

  • One Payment - Due June 15
  • Two Payments - Due June 15 (70%) and November 15 (30%)
  • Monthly Payment Plan - Tuition is paid in ten equal monthly installments by direct bank withdrawal from a checking or savings account, beginning June 15, 2019 and ending April 15, 2020.  St. Mary's will not withdraw a Tuition payment during January 2020.  An origination fee of 4.5% is added to the amount of Tuition financed, and the Tuition Refund Plan (TRP) is required.

Tuition Refund Plan (TRP):
All new families are required to participate in and will be charged for the TRP. The Tuition Refund Plan protects your tuition investment in case your daughter withdraws from St. Mary's for any reason.

Books & School Supplies

9th - 12th Grades
In the Upper School, we do not distribute supply lists.  Most of the teachers will not require specific kinds of supplies. For example, they will expect the girls to take notes, but will not necessarily require a specific type of notebook. If specific supplies are required, the teachers will let the girls know what they need far enough in advance to purchase those items.  

Textbooks
Burke's Books handles our textbook orders, and information regarding textbook trade-ins and ordering can be found on the Upper School page of the St. Mary's website.  When the ordering process begins, if you find that a textbook is not listed for one of your daughter's classes, it is likely that the teacher will be using an e-book and will provide ordering information separate from Burke's. Please contact Lee Avant, if you have questions about textbooks.

Order a Badge Online
If you have misplaced your badge, you can order a new one online for $15.00. If you order by Monday, August 5 your badge will be available in the Upper School office by Thursday, August 8. We will replace broken badges at no cost but please bring your broken badge with you to obtain a new one.

South Campus DROP-OFF PROCEDURES:

9th-12th graders

  • All drop-offs occur at either Taylor or Windland Smith Rice buildings in orange highlighted area on the map. Everyone must pull to the farthest point before stopping to let students out.  
  • Perkins Extended is the only entrance available for drop-off. This entrance is right turn only off of Perkins Extended.
  • There are two carpool lanes. The right lane is for stopping to drop students off; the left lane is for constantly moving traffic to exit the campus.
  • No parking is allowed in carpool lanes from 7:00-8:00 a.m.  It is imperative that students be ready to unload as soon as the vehicle stops.   
  • After students are dropped off, please exit campus via Perkins Road making a right turn only.  A facility staff member will direct you. There will be no exit via Perkins Extended.

South Campus PICK-UP PROCEDURES:

9th-12th graders

  • 9th-12th graders are picked up in front of Holy Communion in orange highlighted area on the map.
  • Walnut Grove is the only entrance for pick-up of 8th grade. Enter only by a right turn into campus.
  • On campus - Only the right lane is for pick-up, and the left lane is for constantly moving traffic exiting the campus. After you pick up your children, proceed to left lane and exit campus by right turn onto Perkins Road.
  • Families with students in both Middle School and Upper School will pick up ALL children at the location of the youngest child.
  • No parking or waiting is allowed in pick-up lane during pick-up time. If your daughter is not outside the building yet, you will be asked to make a loop around the block.  

Security and staff will be present to help direct traffic during drop-off and pick-up.

Junior Field Trip: The first week of school for juniors follows a special schedule that allows us to focus on standardized test preparation. To kick-off this week, we will have a field trip with team-building exercises off campus on Tuesday, August 13. My BackPack is our parent portal and will contain your family's contact information. If you have trouble logging in, please contact Justin Whitford, Directory of Technology. You can make updates to information that may have changed directly in the system including email, phone, and address. A printed directory will be sent home with your daughter after school begins.

Health Center

All families should have received an email invitation directly from SchoolDoc, St. Mary's Health Center portal, with instructions on how to login or create a new account. Help sessions will be offered during Parent Orientations and the first week of school. In the meantime, if your daughter sees her physician, you may want to obtain an updated official copy of her Tennessee Immunization Record. Immunization records are required for all new students, rising SK, and rising 7th graders or anyone who has not gotten the new TN Immunization form in the last few years.

Lunch & Snack

FLIK Independent School Dining provides lunch service for St. Mary's students.  Girls have the option to purchase a Meal Plan or use a Declining Balance account which provides the flexibility to purchase lunch on some days and bring lunch when they choose.  A declining balance account is also used in Upper School to purchase a morning snack.

Parent / Teacher Conference

All-School Conference Day
Friday, October 25, 2019 is Parent/Teacher Conference Day for the entire school. You will receive an email later this fall with instructions for scheduling your conference time(s). There is no school for students on this day.

Parking Registration

Any student parking on campus must register her car and obtain a St. Mary’s parking decal from the Upper School Office. The parking decal must be displayed in the front left corner of the windshield anytime the student is parking on campus.  All seniors must park in the temporary senior lot.  All juniors must park in the junior lot.  Sophomores and freshmen may not park on campus.  Parking Registration Form
